Application Procedure

Step 1: Documents to be Submitted 

  1. Download and print out the Application Form. This form is to be completed and signed.
  2. Academic Qualifications (Certified).
    1. 3 copies of High School Certificate
    2. 3 copies of High School Leaving Certificate / Testimonial.

    The certificates stated above must be translated into English if they are in other languages.

  3. 2 sets of photocopied passport (All pages; A4 sized paper; valid for at least 12 months) and 3 sets of personal information pages including the extended passport renewal page.
  4. 8 copies of passport-sized photographs (coloured on white background; 1.5 inches x 2 inches; with name & passport number written at the back).
  5. 1 copy of completed Health Examination Medical Report (valid within 3 months before registration), attached with all the original laboratory results and chest X-ray film and report.
  6. Accommodation Application Form (Off Campus).
  7. 1 copy of Telegraphic Transfer (TT) Application Fee Receipt (name written at the back). Please send the Application Fee by Telegraphic Transfer (e-mail a copy of the receipt to tliinfo@ucsipa.com).
  • Kindly refer to the course information for the costing
  • Fees quoted in USD are subject to changes due to fluctuations of the exchange rate.

Step 2: Letter of Acceptance 
Upon receiving the above documents and the applications fees, and the student meets the entry requirements, UCSI University will e-mail a scanned copy of the Letter of Acceptance (LoA). UCSI University will then submit the documents to the Malaysian Immigrations Department to process the Visa Approval Application. This process will take about 60 days.
 
Step 3: UCSI University Sends VAL 
When remittance of the Initial Fees and Miscellaneous Fees (as stated in the LoA and total rental and deposit for staying at the Residential Hall) have been credited to UCSI University's bank account via Telegraphic Transfer (refer to Step 1), UCSI University will courier the original LoA and the Original Visa Approval Letter (VAL) to the student. 

Before Arrival (Kuala Lumpur Campus )

Step 1: In the Home Country Instructions for students

To arrange for the airport pick-up services, you (or your UCSI University Agent) MUST fax UCSI University (603-9102 3606) to inform the International Office or e-mail to pickup@ucsi.edu.my  at least 7 days before your departure the following information so that we can make arrangements to pick you up at the airport on your arrival:

  • Date & Time of Departure from your home country.
  • Date & Time of Arrival at the Kuala Lumpur International Airport (KLIA) / Low Cost Carrier Terminal (LCCT).
  • Flight Name & Number.

Step 2: Before boarding the Airplane

Before you leave for the airport, please be sure to bring along and have accessible, the following important documents:

  • Passport (must be valid for at least 12 months before expiry).
  • Original Copy of the Visa Approval Letter or Valid Entry Visa.

Step 3: On the Airplane

You need to fill in the Disembarkation Card provided by the airline crew. Please keep the card stub and follow any specific information given to you by the UCSI University counselors

Step 4: At KLIA

On leaving the airplane, you will need to board a "sky-train" which will take passengers from Terminal C to the Baggage Reclaim & Immigration Terminal.

You must take the sky-train within 20 minutes of disembarking the plane.


At LCCT or Subang Airport

You should proceed to the Immigrations Counter after disembarking the plane

Step 5: At the Immigration Counter

KLIA - A UCSI University representative will wait for you at the Immigrations Counter 40. LCCT- A UCSI University representative will wait for you at the Immigrations Counter 10. Subang Airport - A UCSI University representative will wait for you at the Immigrations Counter.

The UCSI University representative will hold a placard (piece of paper) printed with your name and flight details to guide you through immigrations clearance. You need to be ready with the following documents for the Immigration Officers:

  • Passport.
  • Original Copy of Visa Approval Letter or Valid Entry Visa.

The Immigrations Officer WILL NOT release you without the presence of a UCSI University representative to identify and clear you from Immigrations.

Step 6: Back to UCSI University Campus

Once the Immigrations Clearance procedure is completed, the UCSI University representative (or driver) will offer a refreshment package and a Welcome Letter to you. Then, you will be driven to the UCSI University Residential Hall. At the Residence (Hostel), the Accommodations Officer will assist you at the front counter to check you in if it is during the usual UCSI University working hours (not evenings, nights or weekends). Otherwise, a security guard or warden will assist you to check-in.

 

Arrival
Step 1

The student must report to the International Office (located on the  2nd floor of Block A) according to the date and time stated in the Welcome Letter.
 
 The student must settle the necessary due payments prior to the Course Selection and the commencement of classes. The Student Ambassador or Student Affairs Officer shall assist students to open a bank account. During Orientation,  students will be briefed on UCSI University rules & regulations, the English Placement Test Schedule, and Course Selection procedures.
 
 Attending Orientation Briefing is COMPULSORY.

Step 2
Students who do not meet UCSI University’s English requirement, will have to sit for the English Placement Test (EPT) as per the schedule given. The test will be held at the UCSI Professional Academy (UPA) located on the 1st Floor, North Wing. The EPT results will be released and posted on the notice board the following day at the UPA.
On obtaining their results and meeting UCSI University’s English requirement, students should proceed with their Course Selection procedures.

Step 3
Course Selection Procedure:

  • Students must bring along the Course Selection Form and meet with the Head of School / Head of Programme / Programme Coordinator for advice on subject selection for the current semester.
  • Once approval is obtained from the respective school, students MUST submit the signed / approved Course Selection Form to the Registrar's Office (RO), located on the 2nd Floor, Block A for subject registrations. A Registrar Officer will assist students in this process via the UCSI eAdvantage  website.
  • Students may obtain the Course Schedule from the University Exam Board (located on the 2nd Floor, Block A) or log on to the eAdvantage  website.

Student ID card - students may collect their student ID card prepared by the RO three working days after the course selection is completed.

Step 4

Students MUST submit their passport and Student Pass endorsement fee to the International Office (IO) according to the schedule given them. The IO will provide students a certified true copy of their passport for safekeeping, pending the Student Pass endorsement with the Malaysian Immigrations Department. Students may refer to the notice board at the External Communications Department (located on the 3rd floor, Block A) for collection of their passports. Students’ names will be printed on the notice board when their passports are ready for collection.

Important note:

  • Students MUST submit their passport for Student Pass extension / renewal ONE (1) month before their Student Pass expires. Failure to do so will incur a penalty of RM30.00 per DAY.

Students are responsible to ensure that their Student Pass and Entry Visa are VALID before leaving the country.

General Information
  • It would take at least 60 days for the Malaysian Immigrations Department to issue the Visa Approval Letter. Please note that it is the prerogative of the Malaysian Immigrations Department to approve or reject any visa applications.
  • It is the students' responsibility to check with the Malaysian Embassy in their country of origin on any special requirements or visa requirements before coming to Malaysia. For example, to avoid a fine, students may need to apply for a single entry visa to enter Malaysia together with the Visa Approval Letter.
  • African students are required to take the necessary inoculation(s) (injections), especially the Yellow Fever Vaccination, before coming to Malaysia. A copy of the Medical Certificate must be produced for verification by the Malaysian Immigrations Department.
